Why do we need your Individual Number ("My Number") ?

Following the enforcement of the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure (referred to as the “Individual Numbers Act” below) in January 2016, all residents of Japan were sent their Individual Number (notification card) to the address listed in their residence certificate.

According to the Individual Numbers Act, all employers are obliged to collect the Individual Number from all employees (including their dependents) and carry out administrative procedures related to the Individual Number as stipulated in the Individual Numbers Act.

Hokkaido University collects and uses your Individual Number for the purposes specified below, and has outsourced the collection and management of Individual Numbers to FUJITSU LIMITED. Your Individual Number will be kept confidential at the contractor’s facility under the safety measures supervised by the University.

We kindly ask you to submit your Individual Number by using the “Submission Package” which has been sent to you (all persons who are entitled to receive salaries and honorarium from the University including TAs, etc.) to help us streamline and unify administrative procedures.

Purpose of Use of the Individual Number
  • Taxation
    • Procedures related to documents submitted to the tax authorities including tax declaration, notification, statement, etc.
  • Social security
    • Health Insurance (procedures related to the acquisition of qualification, cooperation with Health Insurance Association when necessary)
    • Pension Insurance (procedures related to the acquisition of qualification, confirmation and payment, and cooperation with corporate pension fund when necessary)
    • Labor Insurance (procedures related to the acquisition of qualification, cooperation with Hello Work (public employment security office) when necessary)
  • Disaster control
    • Procedures related to the protection of individual property
