新型コロナウイルス感染症の影響を考慮した,令和2年度前期分授業料減免申請受付方法の追加について

新型コロナウイルス感染症に関し,申請書類を直接窓口へ提出することが困難である場合の申請方法を,下記のとおり追加します。

 

1:郵送受付

学生が日本国内にいるが,窓口に書類を提出できない場合は「郵送」による申請受付を行います。

①発送方法は「簡易書留」「一般書留」「レターパックライト」「レターパックプラス」のいずれかとします。

②「簡易書留」及び「一般書留」の場合は「角形2号封筒」(A4サイズの紙を折らずに入る封筒)で発送してください。(小さい封筒で発送すると,申請書類等が破損する恐れがあります)

③締め切りは,「日本時間 令和2年3月27日(金)必着」とします。

 ※3月27日(金)必着です。消印有効ではありませんのでご注意ください。

 ※発送する際には,郵便局の窓口で締め切りに間に合うことを確認してください。締め切り後に到着した場合は,受付せずに返送します。

④郵便発送後,発送当日23時59分までに,「令和2年4月1日現在で所属する学部等のメールアドレス」へ,下記内容を必ずメール(発送報告メール)してください。

 メールの件名=授業料減免申請

 メール内容 =学生氏名,学生番号,発送日,携帯電話番号,常に確認しているメールアドレス,「発送の控えの画像」(サイズは問わないが,内容が読めるもの)を添付すること

       ※「発送の控え」とは,簡易書留や一般書留の場合は「書留・特定記録郵便物等受領証」,「レターパック(ライト・プラス)」の場合は「ご依頼主様保管用シール」です。

⑤郵便物の到着確認は,郵便局ホームページ内「郵便追跡サービス」を使って,ご自身で行ってください。大学から郵便物の到着連絡は行いません。到着確認の電話・メールには対応しません。

⑥提出書類に不備があった場合,所属学部の事務からメールにてご連絡しますので,必ず対応してください。対応が無い場合は「申請書類不備」となり,授業料減免が認められない場合があります。

⑦「本人の市町村民税の課税・非課税証明書」の添付忘れが多いので,郵送の際には注意願います。

2:メール受付

学生が日本国内にいない場合は「メール」による申請受付を行います。

①学生が新型コロナウイルスの影響により日本に入国(帰国を含む)できない場合,下記の通り「メール」による申請を受け付けます。

②メールによる申請を希望する学生は,必ず「令和2年4月1日現在で所属する学部等のメールアドレス」へ,メールにて連絡してください。メールで連絡の際には,次のことを記載してください。

 メールの件名=授業料減免申請

 メール内容 =学生氏名,学生番号,常に確認しているメールアドレス,現在の滞在国,帰国予定日(希望日),現在の状況

③「メール申請受付」締め切りは,「日本時間 令和2年3月27日(金)17:00」とします。

④今回の「メール申請受付」で提出書類に不備があった場合や,不足書類があった場合は,所属学部の事務からメールしますので,必ず対応してください。対応が無い場合は「申請書類不備」となり,授業料減免が認められないことがあります。

 Regarding the application for tuition fees exemption for the First Semester 2020, we will accept the application documents sent by post or email due to the outbreak of novel coronavirus (COVID-19). If you cannot submit the documents directly to the office, please refer to the guideline below and complete the procedures within the defined deadline.

 

. For applicants staying in JAPAN

1. Send email to the office of your school/graduate school to receive the application form.

2. Send the documents by single registered mail, general registered mail, letter pack light, or letter pack plus to the address of your school/graduate school listed below.

    *Please do NOT fold the documents when you enclose them into the envelop.

3. Send email to the office of your faculty/graduate school within the day (JST) you send the documents by post.

Text: Name of the applicant, Student ID number, Shipping date, Email address

Attachment; Scanned data or photo of the delivery slip

 

. For applicants staying abroad

1. Send email to the office of your school/graduate school to receive the application form.

2. Submit the documents by email to your shool/graduate school listed below.

 

Title: Application for Tuition Fees Exemption

Text: Name of the applicant, Student number, Email address, Country the applicant stays at present, the date the applicant will return to Japan (if the applicant stays abroad)

Attachment: scanned data of application documents

 

. Common Rules

*Hokkaido University will not send the receipt of the application.

*We will not answer any inquiry of asking confirmation of arrival.

*When you send the documents by post, please check your tracking number if you need to confirm where the documents are.

*When you send the documents by post, make sure your mail will be arrived within the designed deadline with the staffs at a post office.

*We will email to the applicants if there are any defects. Please check the email regularly.

*If you fail to respond our message, tuition fees cannot be exempted.
